Email Problem Diagnosis

Why are my business emails going to spam?

Business email commonly lands in spam when authentication is missing or misaligned, the sending domain or server has poor reputation, recipient providers distrust the message pattern, or the mail system is configured incorrectly. The right fix depends on which signal is failing.

COMMERCIAL DIAGNOSTIC DSD
What is happening?

Customers are missing legitimate emails, proposals or replies because your company messages are being filtered into spam.

Evidence before action01
Why it matters

The business consequence is bigger than the technical symptom.

01

Customers may never see time-sensitive messages.

02

Staff can assume a message was delivered when it was filtered.

03

Repeated poor delivery can damage sales follow-up and operational confidence.

01

Check SPF, DKIM and DMARC first

These records tell receiving systems which servers can send for the domain, whether the message was signed and whether the visible From address aligns with the authenticated domain.

02

Then check the sending source and reputation

A perfectly written DMARC record cannot overcome every reputation or sending-pattern issue. Shared hosting, compromised accounts, bulk behavior and historical reputation can all matter.

03

Do not keep editing DNS blindly

Duplicated SPF records, invalid syntax or conflicting provider instructions can create new failures. A diagnostic should document the current state before remediation.
