A business can write a perfectly legitimate message and still have it filtered. Deliverability is determined by more than the words in the email. The receiving system evaluates the identity and behavior of the infrastructure carrying it.
Authentication is part of identity
SPF, DKIM and DMARC help receiving systems determine whether a message is authorized to use a domain and whether the visible sender aligns with the infrastructure that signed or transmitted it.
A domain can technically “have” these records and still be misconfigured. Alignment, duplicate records, forwarding behavior and policy all matter.
Reputation is earned over time
Mailbox providers evaluate sending patterns, complaints, bounces and engagement signals. A new domain, a sudden volume increase or poor list hygiene can create risk even when authentication is present.
The useful diagnosis is end to end
Troubleshooting should examine DNS, headers, authentication results, sending systems, reputation indicators, bounce responses and whether different sources are sending mail on behalf of the same domain.
The goal is not to find one fashionable setting. It is to determine where trust is being lost.
